1. Move-in Procedures
Before moving in, please read the following instructions carefully and complete all required steps.
| 1 month before the scheduled move-in date: Submit Application for Residence (Form 1) |
| The International Student Office will later send you the Permission for Residence (Form 4). |
| Approximately 2 weeks before the move-in date: Submit Bedding Purchase Application (only if needed) |
| Students who receive the Permission for Residence will also receive the “Bedding Purchase Application Form.” Beds include only a mattress; no blanket, sheets, or pillow are provided. If you need bedding, you may purchase a bedding set managed by the International Student Office. Fees will be charged later. S size: approx. 6,000–7,000 JPY SD size: approx. 8,000–9,000 JPY ※ No other sizes are available. ※ Please dispose of bedding yourself when moving out. |
| On the day of move-in: Submit Move-in Notification (Form 5) and Pledge Form (Form 6) |
| Before submitting them, please read and understand the “Living Guide for Residents.” These forms will be provided on the day. |
Length of Stay
Residents may stay from 1 month up to 1 year.
(Example: Move-in on April 8, 2026 → Stay permitted until March 31, 2027.)
Dates may vary slightly depending on weekends, holidays, and university closures.
Please check your Permission for Residence for details.
Even if your family member becomes a student at OUAVM, extensions are not allowed.
If International House I is full, you may be assigned to International House II.
Regarding Family Members Living Together (For International Students)
We do not recommend inviting your family to Japan until you have become accustomed to life in Obihiro. Please consider bringing them after about six months, once your university life has settled. Before making any arrangements, consult with your supervisor to ensure that having your family with you will not affect your research activities, and obtain their approval.
If you plan to bring your family, please indicate this on your initial Application for Residence and apply for a Type D (for couples) or Type F (for families) room. (Room changes after moving in are not permitted.)
You must also submit the required documents before your family arrives.
If no Type D or Type F rooms are available, please invite your family after you move out.
※ As a general rule, no one other than family members may stay overnight.
Other
⚠️ Packages cannot be received before your move-in date. Please arrange deliveries to arrive after you move in.
⚠️ Bring only essential items. The International House rooms are larger than typical apartments in Obihiro. Since most apartments near the university are smaller, please avoid bringing large furniture or excessive belongings that may cause difficulties when you move later.
⚠️ Do NOT bring the following items:
・ Hazardous materials (kerosene, high‑pressure gas, explosives, toxic substances, etc.)
・ Appliances with exposed flames (stoves, burners)
・ Pets
⚠️ (For international students) Depending on the laboratory, a Japanese student tutor will usually meet you upon arrival.
Once your arrival date is roughly decided, please contact your tutor and consult your academic supervisor and the International Student Office as early as possible to arrange your move‑in guidance.
2. Move-out Procedures
Before moving out, please read the following instructions carefully and complete all required steps.
| 1 month before the scheduled move-out date: Submit: Move-out Notification (Form 12) and begin preparing for departure. |
| ・ If the submission is delayed, the move-out process may not be completed in time, and you may be charged for the following month. ・ You are responsible for disposing of unwanted bicycles, furniture, and other items yourself. → See “How to Dispose of Large Garbage.” (Japanese only) ・ Read the garbage separation guide carefully and follow the rules. Leaving items in or around the building or on campus is strictly prohibited. |
| Approximately 1 week before the move-out date: Pre-departure Inspection |
| A staff member from the International Student Office will inspect your room, facilities, and furnishings based on the cleaning checklist sent in advance. If there is significant dirt or damage, repair or cleaning fees will be charged later. |
| On the day of move-out: Final Inspection |
| Do not leave any belongings in the room. After the inspection, your IC card and key will be collected, and you will no longer be able to enter the room or building. |
Final Payment
If cleaning is insufficient, additional cleaning charges will apply.
Please check “how to pay kaikan” carefully.
Parking After Moving Out
You cannot use the International House parking lot after moving out. If you need parking, please submit a new parking application.
Moving to a Private Apartment
Please consult the International Student Office regarding procedures for moving to an apartment.
3. Other oricedures
Extension of Residence Period
Extensions are generally not permitted.
However, if you have special circumstances, consult the International Student Office in advance and submit the Application for Extension of Residence Period (Form 9) at least one month before the final day of your permitted stay.
Overnight Stay Request
As a general rule, no one other than residents may stay overnight.
However, if you have special circumstances, submit the Overnight Stay Request (Form 15) at least three days before the intended stay and obtain approval.
Application for Events or Gatherings (International House I only)
If you wish to use the facility for meetings or events, submit the Event/Gathering Application (Form 17) at least one week in advance.
A permit will be issued upon approval.
⚠️ After use, return the room to its original condition and keep it clean and tidy.
Leaving personal items or garbage is strictly prohibited.
⚠️ Please keep noise to a minimum after 10:00 p.m. to avoid disturbing other residents.
⚠️ Improper use may result in restrictions on the use of the lounge.
